Automator actions are included in Office 2008 Standard Edition and Office
2008 Special Media Edition.  Automator actions are not included in Office
2008 Home and Student Edition.  We did not go back to add Automator actions
to any edition of Office 2004.

Subject: Duplicating contacts and calendars

I use Entourage for mail, contact, calendar, notes, etc.  I have mobileme
sync working and recently upgraded my iPhone 2G to a 3GS.  After my first
sync all my contacts, calendars, events, etc, doubled and in many cases
quadrupled.  Any ideas how to remove the duplicates?

Entourage 2008 12.1.9 has been crashing on startup and I just
sent the following to Microsoft using the Help/Feedback thing.

I have no idea why it is crashing on startup and don't understand

It was an Apple report ....the MERP's usually don't say much.  I figured
someone on Microsoft Entourage development team should see what
OS X says is the problem.  Entourage is the only app that seems to
crash on start in my setup.

Setup Windows Live Hotmail in Entourage as a POP account

1.  If you can receive but not send then you have a bad SMTP configuration
2.  If you can send but not receive you have a bad POP or IMAP configuration

Under Sending mail, click on advanced sending options. Compare your setting
with the example in the link.

When you get an Apple report that is an indication to me that it's an Apple
issue that involved Entourage. Standards are run combo updaters to overwrite
files. Next step would be to do an "Archive & Install".

If it's not software, then we need to look at hardware. Check RAM. One user
recently found it was his logic board that was causing problems. Entourage
was the only indicator that something was wrong.

If you can eliminate Entourage itself this would be a good start.

You could test in a new User, but if it's hardware, then you would need to
also test on another computer.

Getting a developer to read a log like this is near impossible. They are way
too busy to help troubleshoot issues. Mere mortals like me can only get
clues from the logs.

I restarted and cannot make it fail.  Must have been a flaky OS X startup.

I think I have SMTP setup in accordance with the above URL and:

I have:
SMTP server: smtp.live.com
And have selected:
SMTP service requires secure connection (SSL)
SMTP server requires authentication
    Use same settings as receiving mail server.

When I send nothing happens and it eventually times out.
Receives email ok.

I have the same problem. I can receive Hotmail in Entourage, but can not
send Hotmail from Entourage.

OS 10.4.11
Entourage 2004 all updates

Override default SMTP port: 587.

My own ISP does not require an SMTP port override.  I picked 587 because on
of my other ASMTPs requires 587.

I often receive emails in HTML (with pix, graphics, etc.).  When I go to
forward them, the HTML is gone and the email goes out with the pictures as
attachments.

Am I doing something wrong?

Try forwarding as "Forward as Attachment," instead of "Forward."

Yes, that will forward it as an attachment, but the whole idea is to forward
it without it being an attachment, with all the pix / graphics / links in
the body of the email, the way I received it.

Do you know if Entourage can do that?

Easiest option as Roger explained is "Forward as Attachment".

If you don't want it as an attachment, Copy/Paste works. Entourage's HTML
capabilities are just too limited to forward complex HTML.

I thought that this would be a thank you because after reading the article,
I just had a friend who is running OS 10.6 I believe download. He did and
put it on a thumb drive, brought it over to me yesterday, and I installed it
so I thought. When I started my computer this morning, Microsoft Autoupdate
ran and said that there was an update available: 12.1.9. When I chose About
Entourage, I am told that I am running version 12.1.0 (080409). Do I need to
try to reinstall it again or just forget about it?

Updates contain import fixes so yes, it's important to update.

Are you trying to update from an admin account? Do you get any errors when
the update completes? If you check the Microsoft Component Plugin file what
version is it showing? If it is 12.1.9 and Entourage is 12.1.0, then you
need to update again.

Several users have reported crashes that involved the CoreFoundation. I'm
reporting my experience below in hopes it will help anyone having a similar
issue that involves CoreFoundation and a browser.

I installed a beta version of OmniWeb (browser) today and after that, I had
all sorts of problems with Entourage. I couldn't insert URLs from the
browser into Entourage and had several Entourage crashes. OW never crashed,
but I did have problems like not being able to create a new window in OW.

After I removed the beta and went back to the release version, my Entourage
problems went away.

It's easy to add something and not see that it added an icon to the folder
list. Another one is View "show messages only." Try toggling that and you'll
see the Calendar and Address Book icons added to the folder list.

and still can not get it to run.
I get the Microsoft Error Reporting Box that tells me that Entourage  
has encountered a problem.

I would check permissions on folders. For some reason some folders are
getting permissions set incorrectly resulting in any saving any new changes.

Is your problem the same as George described with the icons in the folder
window? If not, you should always start a new subject for YOUR problem.

You can post the first parts of the error log, but there is no guarantee
anyone here will be able to give you an intelligent reading. :-)

that I tried to launch Entourage 2004 it threw up a window stating that my
'Rules' file seemed to be corrupt with an 'OK' button.  Clicking 'OK' caused
Entourage to quit.  I trashed the script, restarted the computer, and now
things seem to be working properly.  YMMV

Thanks for the feedback. I'll pass this on to the author. It hasn't caused a
problem for me when I tested in 08.

Even if you don't have a need for the script, if anyone else can test the
script, it would be good to have feedback. Anything that helps people with
disabilities is high on my list.

You can open a new window under File --> New --> Open new main window. Set
this window to the Calendar.

You can also add the calendar to the folder list and it switches to the
calendar view, but you do loose the message view. It's a tad easier than
using the top buttons to switch views.

This doesn't show the calendar, but it does give you the event or task
window. Under the Script icon in the Menu bar, select one of the default
scripts:

Create Task from Message
Create Note from Message
Create Event from Message

I recently hooked up a second monitor to my computer and I can't tell you
how great this is for situations like this.

In Entourage create a new email and address it to YouTalk.
 
youtalk at entourage.mvps.org

Enter your subject and you've started your own thread.

Some users use "Reply" then change the subject. However, this is not a good
habit to learn. Some email clients use info in the headers to keep topics
organized and this totally messes up threads. Entourage doesn't have this
feature built in at this time.

I'm having problems with entourage. I've reinstalled it as described  
and still can not get it to run.
I get the Microsoft Error Reporting Box that tells me that Entourage  
has encountered a problem.
Any ideas?

When you get the window with error, click on more info and post the log
contents in a message.

This time I am going to be able to say thank you. After reading all of the
hints to a successful update, I repaired permissions with Disk Utility and
restarted the computer. After having my friend download the update for  me
again, I moved it from the thumb drive to my desktop, It then installed
correctly. Everything that I have checked so far is version 12.1.9. I just
ran the check for updates, and it came up with nothing.

I'm working with Ray offline, but wanted to point out this specific line to
those that are following along. This is 1GB of memory. Barely enough to run
much after the system takes it's share.

System Requirements:

Microsoft Office 2008 for Mac 512 MB of RAM or more.
Microsoft Office 2004 for Mac only required 256 MB of RAM.

Before you update always check how much free space on your drive and how
much memory you have installed. Even if you can't afford a new computer,
upgrading RAM will be like getting a new computer.

I had an odd and disturbing event with Entourage yesterday, but it is
apparently resolved.

I usually have Entourage working, whether in the foreground or background of
the front application.  Yesterday I found that Entourage had the SPOD*.  I
had to force quit.  I restarted Entourage, and although the main menus
appeared (File, Edit, etc.), the main Inbox window would not.  Each time I
tried to open Entourage I received the SPOD and had to force quit.

I quit Entourage, made a Finder copy of the Main Identity folder, and then
ran to Utility tool.  Database utility said my database was fine (927 Mb).
I ran the utility again, and it was fine.

I logged out of my user account, and logged back in.  Still couldn't get an
Inbox window, and had to force quit.

Restarted the Mac, opened Entourage, and it worked. But the Inbox window
appeared and populated very slowly, as if in slow motion, filling the window
from top-down line by line, at a snail's pace.

I found at the top of the Inbox

I wonder what happened to Entourage, how to prevent it from happening again,
and if there is any damage to Entourage that I should repair.

Thanks for the advice.

When I finally did get Entourage to work, I opened the message, thinking it
was from a client.  The message had all sorts of images in it, and seemed to
display properly.  I deleted it, anyway, and have not seen any trouble
since.

does not modify any rules or even access any of those systems. Did you have
any rules in existence beforehand? Did you use any of the mail sorting
features of the script?

Yes, I had many rules set up.  As I stated in my original post, I installed
the script and used it to read one message which it did fine and no problems
were noted during the remainder of that Entourage session.  The problem
appeared with the next attempted launch of Entourage when it immediately
showed the window stating that my Rules file seemed to be corrupt.  The only
button in the window was 'OK'.  Clicking that button caused Entourage to
quit.  I subsequently attempted to launch Entourage two or three more times
with the same results.  I then held down the option key while launching
Entourage and verified my database which appeared to be working correctly.
I then tried a normal launch of Entourage and got the same results as
mentioned above.  I was about to attempt restoring Entourage from a recent
backup but decided to try a computer restart before doing that.  After the
restart, Entourage launched normally and has been working correctly since.

There are have been a large number of posts across the Internet describing
problems with sending mail using Entourage after installing an OS X server
or with a new installation of Postfix.  Many of these queries report
problems but no solutions.  The also can crop up when a user tries to use
Entourage with a mail system the first time.  I installed an OS X server and
immediately encountered this with my Entourage clients.

A typical message on the Entourage client is as follows:

Cannot send mail.  The SMTP server does not recognize any of the
authentication methods supported by Entourage.  Try changing the SMTP
authentication options in Account settings or contract your network
administrator.

OS X uses postfix as its mail server.  When you install it, it sets the SMTP
port to 25.  Your administrator may have changed that to 465 or 587 and you
should check to see if that is your problem.  If so, you need to go to
advanced settings and override the port settings.  You can run a couple of
quick experiments, for example, by entering 587.  However, most of the
problems I have read about on the web seem to be with new installations of
OS X Server where the port has not been changed.

The important point is that when the OS X mail server is installed, the SMPT
server is set to port 25 and neither of the other two ports are available.
If override is checked in advanced SMTP settings and there is anything other
than 25 in the box, Entourage may be set to the wrong port for the server
settings.

It also turns out that Entourage, the client software, can play naughty in
this situation.  If on the OS X server (an presumably postfix as well) you
set "plain talk" as the encryption method for authentication and then
require a user id and password, Entourage will not recognize "plain talk."
The encryption method has to be at least the "login" level on the mail
server to be recognized.  There are stronger encryption methods but we have
not tried those. They may work as well.

So in the end, the settings for SMTP in Entourage have to be as follows
assuming you are using port 25 and not overriding the port settings and you
are using "login" and not one of the more advanced forms of encryption on
the server:

Enter the name of your mail server.

Choose advanced settings:

Do not choose secure socket layer

Uncheck the override the default port setting if it is checked

Check require authorization

Uncheck or do not check the box for require the same settings as for
receiving.

Check the box for user and password

For user id, enter the short name for the user name that was entered in the
OS X Server (or postfix) for accounts

For password use the password for the account

Assuming that everything is set properly this will probably work.

For those who may be experiencing this problem because they have newly
installed Entourage, you need to find out two things from the administrator.
The first is the port number and the second in the encryption setting level
of the server.  If the administrator is using "plain talk" and requiring a
login I think you are out of luck.  If the administrator is using a more
advanced form of encryption on the server, for example, "Login" then it is
just a matter of getting the port right.  It is not clear what happens if
with more stringent forms of encryption such as Kerebos.

Hope this helps others.  It took a few hours and lots of experimeting with
OS X, the Apple mail and Entourage clients to figure all this out.

Open Keychain Access Utility in Application->Utility->Keychain Access.
Select login and right click and check the properties. If lock after "xx"
minutes of inactivity  is set, this could be the issue. Setting login
keychain to not lock automatically should resolve this issue.

Be sure to zip (compress) your Office for Mac folder in Applications before
updating. Lots of problems for some users so make sure you have this safety
net.

Check the calendars that are setup within ICAL and make sure that your
events are the same color as the Entourage calendar, then check the settings
on your IPHONE and make sure it is setup to sync with the Entourage calendar
within ICAL.  IPHONES are typically setup by default to sync with the HOME
calendar which will not talk to Entourage.

Exactly.  What a fool boggler.

But you need to be very careful in this arrangement:

Entourage calendar <-> iCal Entourage calendar <-> iPhone Entourage calendar

Sometimes, out of the blue, I'll get a message that "X number of events have
a conflict.  Review now?"  Sometimes it is just one event, but sometimes the
warning is for a huge number of events, such as 654 items.  I suppose that
iSync is somehow out of sync.

This is very strange behavior, since I have already made the sync hundreds
of times among...

Entourage calendar <-> iCal Entourage calendar <-> iPhone Entourage calendar

Therefore, all the calendar items in Entourage calendar, iCal Entourage
calendar and iPhone iPhone Entourage calendar were already the same (except
for new entries since the last sync).

Even if I check "No, don't review, STOP!", the sync continues.  If I review
the conflicts, the data in iCal and iPhone does not conflict.  So what's the
problem?  Why does iSync think that the data is different?  Dunno.

When I review the supposed conflicts between iPhone and iCal, they look the
same.  But the result can be be that entries in iCal are sometimes deleted,
duplicated or triplicated?  Why?  Dunno.  I have spent hours on the phone
with Apple Care on this problem.  They can't figure it out.

The problem seems random.  But when it happens, any "All Day Event" is
always duplicated or triplicated.  The same with auto-generated calendar
holidays.  

I have entirely stopped entering "All Day Event".  Instead, I enter events
that start at 12:01 am and end at 11:59 pm.  That's much safer.

Auto-generated calendared holidays are particularly a problem.  My iCal
calendar shows holidays for both iCal Holidays and those generated from
Entourage.  So, if I am displaying in iCal both the iCal Holidays calendar,
and the iCal Entourage calendar, I can end up with duplicates or triplicates
of all holidays, i.e., 4 or 6 or 8 of the same holiday.  If I don't fix it
by hand (all the way back to 2004), then on the next "bad sync" I could have
8 or 16 or 24 duplicate holidays and All Day events.  What a mess!

Workaround:

I backup my iCal database every time before a sync.  Therefore, if the sync
screws up my iCal Entourage calendar (and therefore, Entourage's calendar),
I can restore iCal from the backup.  The iCal restore will then restore
Entourage's calendar.

Also, I have iSync set to "[x] Show Data Alert when more than 5% of the data
on this computer will be changed."

What's the solution?  Use Mobile Me?  It sounds great, but that has led to
even more screwy results, since Mobile Me is then syncing:

iMac iCal <-> iMac Entourage
MacBook Pro iCal <-> MacBook Pro Entourage
iPhone <-> MacBook Pro iCal <-> iMac iCal <-> Mobile Me online calendar

If there's a screw up in Mobile Me, then I have wiped out six different
calendar databases, which had all been perfectly in sync before.

Apple and MS need to fix this.

Some basics you can try:

Open Keychain Access application in Applications/Utilities folder. Run
Keychain First Aid. It's in the Keychain menu under Keychain Access. This
might fix the problem, if not, delete the entry for that account.

Go to Entourage, select 'Accounts' from the Tools menu, choose the account
that was giving you trouble and delete that account. You should now be able
to create a new account and enter the correct information. Type carefully.
If you paste don't include spaces.

The password should now stick.

I wrote a new Entourage Text-To-Speech script that converts emails to
audiobook files to be played on your ipod or other itunes compatible device.
I updated and added it to the Entourage TTS Read Email script and renamed
the package Entourage Text To Speech Applescripts. My goal is to supply
Entourage with a complete text-to-speech interface that helps improve
efficiency as much as having the computer speak your emails as possible.
Some of my ideas so far are allowing users to listen to less important
emails while working on other tasks and converting their emails to audiobook
format to be read on their ipod while commuting, etc. Please test the
scripts and give feedback. If anyone has any good ideas, I would love to

Can you explain what you are trying to do in plain talk? I'm not
understanding what you are trying to do. In Automator, a combination of
actions and scripts might get what you want accomplished.

Are there known issues by merging Entourage and Mail/iCal. I have heard that
it is still now working as well as it should. With my corruption issues I
just want things to work. it is terrible to open your iphone and see "0"
contacts due to corruption when it had recently said 896 contacts. Ouch

I've seen some issues with hardware cause all sorts of problems like you
describe. Usually fixing the issues will fix the problem, but if the
database is written on bad blocks there could be corruption in the database
file. If you rebuild always make a duplicate in the Finder first.

Entourage address book groups do not show up in Address Book.app.  I have
seen "Groups" in Entourage's address book and Address Book.app, not in iCal.

Mail.app syncs groups to iPhone.  Those are Mail.app groups, not Entourage's
groups.

The Mail.app groups will show up in iPhone Mail, but you can send a message
from iPhone to everyone in a group using one click.  You need to select the
Group on iPhone mail, and then select each address individually.  Bummer.

The workaround for that is to send one "template" email to the group, with a
cc to yourself.  Leave it on iPhone mail, and then just use "Reply all".
The "Reply all" will send your new mail to everyone in the group. You can
change the Subject and content as you like.

I am hoping it no longer has a bad block since I had to reinstall everything
fresh (cloned my old HD but did not bring anything other then documents
over) and even reinstalled Office 08 from scratch and rebuilt my idenity

They are basically my workflow prompts for text input. It the gets the
variable and the passes the result to Apple mail by dragging the variable to
to the subject in Apple mail it fills in the subject. If you drag the
variable to the subject line in the Entourage action "Create New Entourage
Mail Message" it will not work. The workflow is very similar to this U-Tube
video: http://www.youtube.com/watch?v=lKPdv3lpjW4&feature=related except
using Entourage instead of Apple mail. I have the part that attaches the
selected file working fine. I cannot figure out how to get my Automator
variable called "subject" into the Entourage message subject window.

sorry to say that it doesn't seem to be possible to assign a variable  
to the text boxes in the 'create entourage message' automator action.

It is possible to do this all with appleScript, and an automator  
action can be used to run the script, if you want the action in the  
contextual menu.

If I get the chance, I'll write you such a script later today and send  
it on.

Do you mean to zip the folder and leave it in the Applications folder. Do I
have to do anything else. What do you have to do to zip the folder? I do
have Stuffit 13.0.3 on my computer although I have never used it much except
to unstuff things that I receive. Would you reply directly as I am on the
digest and it seem to only come out every few days.

To recap, I moved to a different corporate Exchange server, and it had certificate problems.  Mismatched IP address or some such.  IT guys were unwilling to fix or share certificate with me.  Why?  Because macs are not supported, and the certificate problem didn?t cause problems for Outlook users, just for Entourage users.  This effectively forced me to switch to accessing my email using Outlook in a virtual PC on my mac.

But yesterday I got an email from MS inviting me to download the Entourage beta.  I did, and to my utter delight, the issue has been resolved!  Entourage now behaves like Outlook in that the certificate problem is not a complete block.  I am able to send and receive mail and calendar stuff from Entourage smoothly.  Well done MS Mac Office team!  Not sure if the feedback on this list or through the Feedback link did the trick, but someone is sure listening and working to address issues.

A do have a question, though.  I?ve got several months of email trapped over in a virtual machine in Outlook.  I need to bring this over and suck it into Entourage.  Entourage has an import function, but I don?t see any option to import email and mailboxes from Outlook.  Is there a way to free this trapped mail and bring it over to my Mac/Entourage?

Make sure the Progress window is active. Next select the folder and hold
down Control key to get contextual menu. Select Refresh or Synchronize now.

Exchange is not my area of expertise so the exchange users might have better
options if the above does not get it started syncing.

I just leave it in Applications, then delete when I know I don't need it.

In the Finder, select the folder, hold down Control key and select Compress
from the menu.

If you need to revert, I would delete the bad updated version then double
click on unzip. All of this is part of the Finder.

Hmmmm, interesting. Let's hope Barry can come up with a script that will
make this work.

What I do is drag an attachment to the Entourage icon in the Dock and it
open Entourage in a new message as an attachment. Then I add subject and
enter "to".

A group in Entourage is a folder of contacts. A group in Apple Address Book
is more like Entourage categories.

This gets into the whole terminology issues. User, Identity, Profile etc.
all different in different contexts and platforms and all confuses the user.

You might want to take the easy approach and put your mail into a PST file
and then connect Outlook to your new Exchange settings. You can drag
messages from your PST into your Exchange account to move them back to the
server.

When you hold down the Control key and select Compress, does it create
another folder that is zipped or compressed so you end up with two folders.

I was not clear.  Exchange folders sync immediately.  Folders on my computer
in Outlook were the issue.  I just moved them to Exchange server in small
batches and then pulled them down to my Mac/Entourage.  Tedious but worked
well.

I'm new to this list -- was a long-time participant in the Entourage-Talk
list (Diane, thanks for the pointer).

Bob, your posts brand you as someone with Outlook and Entourage familiarity.
I'm a Mac user since 1984, an Entourage user since before it existed (Claris
Emailer). I'm about to deploy a Windows Server 2008 SBS in my medical
practice, and of course a component of that will be an Exchange Server,
which I hope to configure so that our staff and frequent external associates
(I'm a nephrologist, so this would primarily be nurses in hemodialysis
units), can communicate with each other without violating the HIPAA statute.

Initially, I assumed I'd need to use a Windows VM on my own computers, but
the latest update for Office Mac adds access to Sharepoint servers (so that
I'll be able to read patient-related documents stored on our server from
Macs and other computers not on our LAN in the office), and Entourage Web
Services Edition (you apparently have the beta) seems to enable
email/contacts/calendar parity for access to the Exchange Server.

I've had concerns about how best to deal with personal email in POP accounts
in Entourage. Currently I use POP for all but one of my email accounts, and
I make certain that my MS Mac Office MUD folder is current on whichever
computer I'm using (Mac Pro at home, MacBook Pro at work and on the road) by
use of a third party file synchronization utility (Synchronize! Pro X). The
downside of this approach is that I can't use Office Notifications on either
computer, because if an alert pops up on while I'm away from home, the
modification flag on the Entourage Database file gets changed on BOTH
computers, and Synchronize! Pro X uses that to tell whether the Entourage
Database file has changed on one or both computers.

Diane has suggested keeping the MUD folder on a thumb drive and/or using
IMAP for mail. That might solve most of my issues, but I don't know what
will happen once I become an SBS client (user CAL, not device CAL) with
personal contact/calendar/mail info that will reside on my hard drive) who
logs on from different Macs. Do you know if the Exchange Server is likely to
have problems with this?

I tried to ask about this on a web based SBS support site, but I don't think
anyone there has much Mac experience, and when I tried to make my question
platform independent by substituting Outlook for Entourage in my question, I
realized I didn't know whether Outlook stores all local data in one gigantic
file. Do you know?

Comments/warnings/advice from anyone else who can tell me what pitfalls I'm
likely to encounter with the SBS Server would be VERY welcome.
