In order to maintain a smaller footprint on the exchange server and remain within mail caps on the server, I've set a filter to move inbound email from the server to the inbox in entourage on my local drive. In order to have a searchable archive of all my sent and received email, I've also created a folder in entourage on my local drive called Archives, which I use quite a bit. Having this means that I can comfortably delete anything in my Inbox as I have a filter setup to copy all messages to my archives folder. The problem now is that over a period of months my archives folder on the local drive has gotten large. The footprint that entourage takes up is now sucking ram (understandably) and I find myself with the need to move at least some months of the archives folder messages to a true folder outside of entourage on the hard drive and use something like spotlight to search them. Is there a good, reliable archiving program available to do this - perhaps one that turns emails from entourage into .txt files which are more searchable in spotlight? Message-ID: <884945.52609.qm@web55604.mail.re4.yahoo.com> Hi My entourage system recently broke down. It still has some partial function in that I can scroll through old received messages and I can delete messages from the inbox, from 'sent items' and 'deleted items' (I started dong this when problems began a few months ago and it seem to fix it. Also I can use open the addres book. However, last friday a message got 'stuck' in my 'outbox' and the blank grey spaces which temporarily paralyse the system returned with a vengeance. Since then I have not been able to send or recieve e-mnails with entourage (though I can do this on the web.) Now, when I try to download messages sent to me I often get the following message: The action could not be completed Unknown error (4363) ocurred I am working on a Mac OSX. Looking at the Entourage help page, I decided to free up some space on my disc in case that was the problem, but it didn't make any difference. Please run that with Entourage open and tell us how much CPU Entourage is taking up and how much RAM/Memory. My gut says this is an issue where you have thousands of messages and they are causing a significant drag on both CPU and especially memory/RAM. -- Adam Boettiger, Digital Strategist Mobile: 503.989.2668 Email: adam at adamboettiger.com Consulting: http://www.adamboettiger.com/ Twitter: http://twitter.com/AdamBoettiger Portland, Oregon On Thu, Jun 4, 2009 at 8:47 AM, jon lusk wrote: > > Hi > > My entourage system recently broke down. > > It still has some partial function in that I can scroll through old > received messages and I can delete messages from the inbox, from 'sent > items' and 'deleted items' (I started dong this when problems began a few > months ago and it seem to fix it. Then I'd continue to attempt contact with Diane or one of the admins to facilitate list removal. Hi Jon! Diane was replying to Eric Frydler. He's had difficulty with this list and has chosen to respond to messages back on the list. However, he's probably not reading anyone's responses since he doesn't want to be on this list. I suggest anyone trying to reply to Eric not bother to do so here. You'll just be shouting into the wind. He has been contacted privately and we're trying to deal with this issue off-list. -- bill Entourage Help Page Entourage Help Blog YouTalk Twitter: follow From ktweb at me.com Fri Jun 5 10:46:37 2009 From: ktweb at me.com (Kenneth Taylor) Date: Fri, 05 Jun 2009 15:46:37 +0100 Subject: Local archiving strategy help In-Reply-To: <1d12bff60906040819x40c1e3adm330c3c57ee4e3cdb@mail.gmail.com> Message-ID: On 04/06/2009 16:19, "Adam Boettiger" wrote: > Is there a good, reliable archiving program available to do this - perhaps > one that turns emails from entourage into .txt files which are more > searchable in spotlight? Complex but worked without a reinstall of Entourage. Remember that Entourage has a kludgy workaround to make Entourage work with Spotlight. I am running OS 10.4.11 with Entourage 2004. There is an Entourage pref for Spotlight. Entourage creates thousands of "metadata cache" files. On my HD with my OS, the files are here: /Users/roger_MBP/Library/Caches/Metadata/Microsoft/Entourage/2004/Main Identity/Messages/0T/0B/0M/[many interior folders] I have Entourage installed on two Macs. Recently on one Mac I did an Archive and Install. Entourage 2004 was missing the pref for Spotlight. I finally deduced that the Archive and Install had somehow removed two key files from the HD Library. I copied those files from one HD to the second HD. But Entourage 2004 still did not create the Spotlight files. I then copied the five correct folder names (empty, not the full folders) to the right location on the second Mac. Then logged out and logged in. Then opened Entourage 2004, and found the the missing Spotlight pref had returned. Then hit "Rebuild Spotlight" in the Entourage pres, and the rebuild finally began. This procedure obviated the need to reinstall Entourage. Once again... stupid, kludgy Microsoft methodology. ~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~~ Roger S. If you have your HD backed up on an external drive, why don't you try dumping from your boot drive photos, movies and music. That could free some valuable HD space. MacBook Pro; OS 10.5.7; Entourage 11.4.0; Safari 4.0 I used the beta with no Entourage related problems. The only problem I found was that the shortcut command to stop a Safari page from loading (Cmd + .) no longer worked in the beta, but it works in Safari 4.0. No problems with Safari 4.0 and Entourage so far. However, one minor glitch -- if I quit and relaunch Safari 4.0, it won't load my home page, it just loads a blank page. Once I manually click the homepage icon, it loads fine and when closing and re-opening Safari 4.0 it also loads fine. It just doesn't load after quitting and relaunching. Anybody else seeing this?? There has been a public beta for Exchange users. Once the beta concludes, all the features will be rolled into the regular Entourage 2008 application. The Microsoft Database daemon should be in login items if you use Office Reminders. The Microsoft AU daemon that launches the Auto Updater is in logins too. Neither will launch Entourage. If you don't find it, you can seen me a screen shot off list of your login items window. You can purge the Most Recently Used. That's not actually in the Address Book itself. The MRU is used when addressing messages. How to use, manage and clear the Most Recently Used list: In the Address Book itself, you can add the column "Last Correspondence." sort by this column and delete older emails. Personally, I prefer using .rge to export contacts. This gets the categories you have assigned. I have an Automator action that backs up my contacts once a week as a .rge file automatically. These files are very small and it's nice to have snapshots of just my contacts in addition to my Identity backups. -- Diane From rmkriss at att.net Sun Jun 21 14:59:35 2009 From: rmkriss at att.net (Richard Kriss) Date: Sun, 21 Jun 2009 13:59:35 -0500 Subject: How to Purge bad addresses In-Reply-To: Message-ID: Diane, That?s sounds way too hard to clean up the auto address file. Here are the broad steps: 1) open Automator --> select custom workflow 2) drag "Export Entourage Contacts" to the workflow pane (select where to save from popup) 3) optional: drag "Show Growl Notification", name title and description (I use Weekly backup for contacts complete!) 4) "save as" iCal plugin 5) when the event opens in iCal set the time you want it to run and how often. (I run mine each Sunday at 1PM) No need to quit Entourage to run. I save my file in a folder with this folder action attached: FolderOrgX. This creates a folder by date for each backup. This is useful if you want snapshots. Otherwise, let it overwrite the previous copy. Folder actions only work on external drives or from an external that is booted. FWIW, my .rge file for contacts is 5MB. I have 876 contacts. I'll post it with screenshots and a download workflow. -- Diane From lorener at gmail.com Mon Jun 22 01:57:41 2009 From: lorener at gmail.com (Lorene Romero) Date: Sun, 21 Jun 2009 22:57:41 -0700 Subject: Autormator action for Entourage .rge In-Reply-To: References: <82900a960906212209x39dd8311x98f105fd43706c9f@mail.gmail.com> Message-ID: <82900a960906212257n3e04c529tf1751aa1815495e7@mail.gmail.com> Thank you so much for doing this. Message-ID: Hello Everyone, I have a user at a remote site trying to connect Entourage 2004 v11.3.6 to Exchange 2003 SP2. We do not have WebDAV enabled in IIS on our Exchange servers. I ran a few test connecting without having WebDAV enabled and couldn't find any issues connecting. I tested accessing the mailbox, sending and receiving public folder, free busy scheduling, out of office and couldn't find any issues. I've read in a few other sites that some believe it's a red herring that in order for Entourage to be fully functional it requires WebDAV. Can anyone tell me if this is true? Does Entourage require the IIS WebDAV extension to be enabled and if so for what features? I'm running MAC OS X 10.4.11 Entourage 2004 v11.3.6. I?ll receive an email, and in the body of the email is someone?s email address. Entourage recognizes it?s an email address, because it?s underlined and in blue, and if I click on it a new email message opens, addressed to that address. But if I want to add it to my address book, I try doing a control-click, and get this menu: [ I had to delete the menu, because when I sent the email I got back: ?The message's content type was not explicitly allowed? ] Why isn?t ?add to address book? an available option in that menu, like it is if the email address is in the ?from? field and not the body of the message? Is this fixable by users like us, or only by the programmers in Redmond? Thanks, Elvis From dianeross at mvps.org Wed Jun 24 16:13:33 2009 From: dianeross at mvps.org (Diane Ross) Date: Wed, 24 Jun 2009 13:13:33 -0700 Subject: Really Simple, Basic Entourage Question In-Reply-To: Message-ID: The shortcut "Add to Address Book" is under Tools in the Menu bar for Entourage 2004. This adds the address for the sender. To add an address in the body of the message. Double click and it opens addressed to that person. You can then Control Click to select "add to Address Book" I agree, it should be a contextual menu item. Just did a quick Google search and do see it is possible for a user to create a contextual menu item. -- Diane On 6/24/09 9:37 AM, "Elvis Cruz" wrote: > > > From: Elvis Cruz > Date: Wed, 24 Jun 2009 12:21:59 -0400 > To: YouTalk mailing list for discussion of Microsoft Entourage > > Conversation: Really simple, basic Entourage question > Subject: Really simple, basic Entourage question > > Hey all you Entourage wizards, > > I have this recurring frustration with Entourage. In Outlook for the PC there is an option in Calendar on Exchange where you can check boxes of other users' calendars to show a group's availability when scheduling a meeting. I'm having trouble finding the same functionality in Entourage. I see I can use Scheduler but have to enter each person's email address in every time. This is cumbersome. I'm wondering if I could, say, great a GROUP and then add only the group address and it would show all availability from the individuals? In short, when scheduling a call or meeting the first step is to look at the entire group to find a time when all or certain folks are available next. Any thoughts? -- Adam Boettiger, Digital Strategist Mobile: 503.989.2668 Email: adam at adamboettiger.com Consulting: http://www.adamboettiger.com/ Twitter: http://twitter.com/AdamBoettiger Facebook: http://facebook.com/AdamBoettiger Portland, Oregon From dianeross at mvps.org Thu Jun 25 17:30:06 2009 From: dianeross at mvps.org (Diane Ross) Date: Thu, 25 Jun 2009 14:30:06 -0700 Subject: Bug in Entourage 12.1.9 In-Reply-To: Message-ID: On 6/25/09 5:54 AM, "Richard Kriss" wrote: > Crashed Module Name: unknown > Crashed Module Version: unknown > Crashed Module Offset: unknown > Blame Module Name: unknown > Blame Module Version: unknown > Blame Module Offset: unknown These don't indicate any Microsoft application. There is something wrong with Entourage 12.1.9 and I don't think it is an OS X issue I am not alone Extra app info: Reg=en Loc=0x0409 http://officeformac.com/ms/ProductForums/Entourage/8947 From rmkriss at att.net Thu Jun 25 19:30:38 2009 From: rmkriss at att.net (Richard Kriss) Date: Thu, 25 Jun 2009 18:30:38 -0500 Subject: Bug in Entourage 12.1.9 In-Reply-To: Message-ID: Entourage just quit again on launch and rather than send the report to Apple, who could care less, I copied the report and used the Send Feedback to Microsoft under the Help menu. I would like to know what is causing this problem. I have already trashed my Office 2008 identity and started over clean, and performed every OS X 12.5.7 maintenance procedure I know how to run. The only application I have that crashes on launch is Entourage 12.1.9. Too bad the lame Office2008-1219UpdateEN.dmg combo will not let you install over 12.1.9 once it has been installed. Hopefully, someone at Microsoft will understand what's going on and someday we may see a fix. Unfortunately, you've found the only means you can view free/busy information, which is to use the Schedule tab in a new meeting invitation. Please be sure to let Microsoft know you'd like to see this feature in future versions by using the Help --> Send Feedback mechanism in any Office application. Your idea about creating a group is a good one. Yes, you can create a group in your Entourage Address Book and then add that to your event. You'll have to click on the group as if you were going to add more recipients. This will allow you to right-click or Control-click your group and select "Expand Group". In a few seconds you should see free/busy results for each person. For reasons I do not understand Entourage 2009 v12.1.9 is writing an application to my Mac OS X System Preferences/Accounts/Login items called "Microsoft Database" that should not be there. I can use the OS X "-" to delete it but the next time I close Entourage it creates the entry again. The other what also may be problem is the file in the Microsoft Office 2008/Office called "Microsoft Database Daemon.app" does not seem to update. The current file Microsoft Database Daemon.app was created Tuesday6/9/09 and has not been updated. Should this file update? I really do not think this is a OS X issue. I had it once before and created a new identity and that did not fix the problems. I plan to run the OS X combo 10.5.7 and to see if that helps. Since there is no way to reinstall Entourage, I may have to uninstall and start over again. This is the pits...... God help you if you see Microsoft Database in your Login items. In Login items, it just shows as Microsoft Database, but if you hover over it will show you it's the Microsoft Database Daemon.app in the yellow bar. The daemon is used with Notifications/Reminders and with Spotlight. Before when you were saying it was the database, I was concerned because that is not right. You don't want to launch Entourage by selecting the database in Login Items. When you launch Entourage, hold down the Shift Key. Does this stop the crashes? Holding down the Shift key at startup - like "Extensions Off" when starting up your Mac. This allows Entourage to launch without crashing in situations like this. You could then turn off Preview Pane and check the server looking for the suspect message. -- Diane From dianeross at mvps.org Fri Jun 26 16:18:15 2009 From: dianeross at mvps.org (Diane Ross) Date: Fri, 26 Jun 2009 13:18:15 -0700 Subject: Entourage 2004 user- can you verify? Yes, but even if you had it checked unless you had Notifications/Reminders turned on, it would only create the files and not make them available. Why don't you use Spotlight in Entourage. YES! They are only 12kb so why do you want to remove them? If you want to get rid of languages, it's best to do this when you install the OS. I did see this posted today that allows you to remove languages and not affect Microsoft updates. I can't verify this, but it does sound OK. Use at your own risk. Re: Removing Languages FWIW: I have no experience with Monolingual or Xslimmer, so I have no comments in that regard. But I do know (as a fact) that, at least on my 2 machines, "foreign" languages removed with TinkerTool System does not preclude or interfere with subsequent updaters to ?S Office 2004, 2008, or Adobe Reader. That is because TinkerTool System has a setting/preference to: 1. Not remove languages from components integrated into applications. 2. Don't touch Adobe applications. My (only) point is that if you want to remove languages, I know that TinkerTool System is safe to use. __________________ http://forums.macosxhints.com/showthread.php?p=539976&posted=1#post539976 From dianeross at mvps.org Fri Jun 26 19:10:37 2009 From: dianeross at mvps.org (Diane Ross) Date: Fri, 26 Jun 2009 16:10:37 -0700 Subject: Verify Find Office Version still works in Office 2004 Message-ID: I just updated my Office 2004 install. All these Office Scripts have creation dates from 8th October 2007 to 3rd December 2007, so appear to have been created for Office 2008, which was released in January 2008 I think. Please always begin your own thread when asking your own question. This avoids confusion when folks are reading the original question and all the answers. For you, I'd suggest always sending in plain text as I'm doing here. When the sender composes his message in HTML then he controls the size, style and face of the font. While this may be convenient for him, it may be inconvenient for folks with vision problems or different size monitors. Sending in plain text allows the recipient to use his preferred size, style and font face. To send in plain text all the time, go to Entourage menu --> Preferences... --> Mail & News Preferences --> Compose and and set "Mail format" to "Plain Text". Hope this helps! If you are sending plain text you have no control over the recipient's font size. The recipient controls the font size. You should not have to use HTML because the recipient doesn't know how or doesn't want to adjust the font size. For most email, plain text is desirable. Are you saying Entourage quits? If yes, this has been reported before and the only solution is to re-install Office. Let's check first in a new Identity to eliminate database corruption. * Under Entourage in the Menu bar, select Switch Identities. * Click on the New button and create a test Identity * No need to enter account info for this test * Now click on preferences and see if it works * If yes, this indicates database corruption Make a duplicate in the Finder first as additional backup. A rebuild does make a duplicate, but sometimes in the process the original and backup get merged resulting in total disaster. It's rare but it happens. How to rebuild: Adding my two cents to the advice to use plain text as reply....This is absolutely the best way to solve the problem, but he'll probably continue to reply in HTML totally disregarding how you see the emails. I find most people that like big fonts in HTML have no regard for their recipients even after finding out that plain text works for both parties. Should I use > the Switch Identity to change my primary identity name to Main? Names are optional. There is no requirement to use "Main" as the name. It's simply the default name. -- Diane From rmkriss at att.net Sat Jun 27 18:11:59 2009 From: rmkriss at att.net (Richard Kriss) Date: Sat, 27 Jun 2009 17:11:59 -0500 Subject: How to Document Updates In-Reply-To: Message-ID: I forgot to add another good reason for manual log file updates is if you use Combo installers from Apple. The Software Update.log is only auto updated by files installed by the Software Updater. If you updated OS X from 10.5.6 to 10.5.7 using the MacOSXUpdCombo10.5.7.dmg, it will not show up in your Installed Updates.
